Moving and Set Up Service Requests for Events

If you (SMC entity) have an event that requires set-up/moving services and/or custodial services, you must contact Facilities Services and request the services needed. This should be done using our Work Order Online Form below.

Our office will follow up on the request and schedule the set-up, take-down, moving and custodial services requested. Please contact IT Services for media equipment and Sodexo for table cloths and food items.

If the services can be provided by the maintenance and/or custodial staff within their regular shifts and we have the necessary staff available, then the entity requesting the services will not be charged for the services.

If the services requested require the maintenance staff and/or custodial staff to work overtime or during hours not covered by a regular shift, then you will be charged for those services. You will also be charged for services that require extra help. Prior to those services being rendered, you will be given an estimate of those costs. At that time, you will be asked to provide an account code and signature authorizing the extra services to be rendered. Without the account code and authorizing signature, we will not be able to provide the services requested.

Currently, Facilities Services does not provide services twenty-four hours a day, seven days a week. On Saturday and Sunday, the staff consists of one maintenance worker from  7 AM to 11 PM and and two custodians during the day and one in the evening until 12:30 AM.

Please remember that the Facilities Services budget was never designed to subsidize the events of departments or groups to the extent that it has been expected over the past several years.
