How to Use the Desk Phone (Polycom VVX 310)

Phone display 

 

Your desk phone display changes depending in your action. Take a look at these common display screens:

Receiver On   Phone display when the receiver is ON

Receiver Off    Phone display when the receiver is OFF 

Call Coming In   Phone display when a call is coming in 

Answered Call   Phone display when you've answered a call

Make a Call

(1) Pick up the receiver and dial the contact number. Once the receiver is in the OFF position, the phone display will look like this:

(2) Use the phone's number pad to dial the number.

(3) When the call has ended, hangup the receiver.

 

For EXTERNAL calls, type the 7-digit number (if it’s in 925 area code) or the 10-digit number (if it’s outside of the area code). There is NO NEED to dial 9 to call an outside line. There is also no need to dial 1 before an area code.

For INTERNAL calls, type the 4-digit extension or the person’s name. Notice as you type a list of contacts (who are within the SMC directory) will appear.

    TIP! - If the contact is in the SMC directory, you can type his/her name and it will also appear.

Receive a Call

(1) If you receive a call, pick up the receiver. When a call comes in, your phone display will look like this:

(2) Pick up the receiver to answer the incoming call.

Transfer to Voicemail (Internal)

(1) While on an active call, press the Transfer softkey.

(2) Press the Blind softkey.

(3) Dial 0+extension.

(4) Your call will end and the caller will be transferred to the voicemail.

3-Way Calls

(1) While on an active call, press the More softkey.

(2) Press the Confrnce softkey.

More to Conference

(3) Dial the extension or external number. (There is NO NEED to dial 9 to call an outside line or 1 before the area code.)

(4) Wait for 2nd party to answer.

(5) Press the More softkey, then the Confrnc softkey again.

(6) At this point, all three parties are merged.

Multiple Calls

(1) If you are on a call and a 2nd call comes in, tell the 1st call to hold, and press Answer. The 1st call will automatically be put on hold and you will be connected to the 2nd call.

  • To end the 2nd call, make sure the 2nd call is selected on the phone’s display screen, and press End Call.
  • To put the 2nd call on hold, make sure the 2nd call is selected on the phone’s display screen, and press Hold.
  • To resume a call, make sure the desired call is selected on the phone’s display screen, and click Resume.

TIP - Use the phone’s up/down arrow keys to select the call.

Transfer Calls  •  Warm (Attended) Transfer

This places the current call on hold and initiates the call with the transfer destination to confirm whether the call is wanted or not. Your caller ID shows on the transferee’s device.

(1) While on an active call, press the Transfer softkey.

Answered Call

(2) Wait for the destination party (transferee) to pick up and confirm that he/she wants to take the call. Press the Transfer softkey again.

Transfer Calls  •  Blind Transfer

Routes the call to a third party, the original call is ended. The caller’s ID shows on the transferee’s device.

(1) While on an active call, press the Transfer softkey.

(2) Press the Blind softey.

(3) Dial the internal extension or external number. (There is NO NEED to dial 9 to call an outside line or 1 before the area code.)

(4) Your call will end and the caller will be blind transferred.

Voicemail  •  Access Voicemail in your Email

(1) In your Email Inbox, you’ll see [Voicemail] New message in mailbox #### on [day, date, time].

(2) Click the email subject to see more detail of the message.

(3) Click the .wav file to listen to the message.

  • NOTE: By default, your voicemail will go to your Email. If you prefer to have voicemail only go to your Desk Phone, please contact the Service Desk at 925-631-4266.
  • NOTE: There is a 99 message limit for voicemail messages left in Desk Phones. Messages left in email is unlimited.
  • NOTE: If you have changed the default so that Voicemail goes to your Desk Phone, please contact the Service Desk for instructions on how to access your Voicemail from your Desk Phone.

Voicemail  •  Change Voicemail Password

(1) Press the Voicemail. (hard button)

(2) Press the Connect softkey.

(3) You’ll hear “Password”. Enter your password. (The default password is 0000.)

(4) Press 0 for Mailbox Options.

(5) Press 5 for Change Password.

(6) Enter your new password.

BEST PRACTICE - Change the default password to your own personal password.

Voicemail  •  Change Voicemail Greeting

(1) Press the Voicemail. (hard button).

(3) You’ll hear“Password”. Enter your password. (The default password is 0000.)

(4) Press 0 for Mailbox Options.

(5) Press 1 to record Unavailable Message.

  • Press 1 to Accept.
  • Press 2 to Review Recording.
  • Press 3 to Re-record.

(6) Take a few more moments to record your Busy Message and your Name.

REMEMBER - Make sure to change the default greeting to your own personal greeting. This includes personalizing your Unavailable Message, your Busy Message, and your Name.
