Make a Call

(1) From the Homepage, click the little phone icon at the top right corner of the screen:

(2) You will enter the Make A Call screen:

For EXTERNAL calls, type the 7-digit number (if it’s in 925 area code) or the 10-digit number (if it’s outside of the area code). There is NO NEED to dial 9 to call an outside line.

For INTERNAL calls, type the 4-digit extension or the person’s name. Notice as you type a list of contacts (who are within the SMC directory) will appear.

    TIP! - If the contact is in the SMC directory, you can type his/her name and it will also appear.

 

(3)  Once the desired contact shows in the list, click it to populate the Call field. Then, click Call.

(4) You will see the following:

(5) Once connected, you will see the Connect Display to the right of your screen.

Receive a Call

(1) If you are on the Gaelphone Web Client and you receive a call, click Accept.

(2) Once connected, you will see the Connect Display to the right of your screen.

Transfer Directly to Voicemail (Internal)

(1)   While on an active call, locate the Connect Display to the right of your screen, click Transfer.

(2)   For INTERNAL calls, type the 4-digit extension or the person’s name. As you type a list of contacts will appear. Once the desired contact shows in the list, click it to populate the Call field.

(TIP! - If the contact is in the SMC directory, you can type his/her name and it will also appear.)

(3)   Once the desired contact populates the Call field, click Send to Voicemail.

(4)   After successful transfer, you’ll see Transfer Complete.

3-Way Calls

(1)   While on an active call, locate the Connect Display to the right of your screen, click Add.

(2)   Dial the internal extension or external number. (For external numbers, you do not have to dial 9.)

Once the desired contact populates the Call field, click Call.

(4)   Wait for the second party to answer. When he/she answers, press Merge Now.

(5)   Once all three parties are merged, it will Merge Complete.

Multiple Calls

If you are on a call and another calls comes in, tell the current caller to hold and press the Hold button from the Connect Display screen.

For the incoming call, click Accept.

Now you’ll have two connected calls. Click the number icon at the top right-hand corner of the screen. Refer to the image below. Notice the first caller is on hold.

Using the example above, let’s say you want to put the 2nd caller on hold, then go back to the 1st caller.

To do this, make sure to click the 2nd caller’s Hold button. Then, “un-Hold” the 1st caller by clicking his Hold button again.

NOTE: If you  “un-Hold” the 1st and 2nd caller, you will merge the call, making it a 3-way call.

Transfer Calls

Warm (Attended) Transfer

This places the current call on hold and initiates the call with the transfer destination to confirm whether the call is wanted or not. Your caller ID shows on the transferee’s device.

While on an active call, press Transfer.

Dial the internal extension or external number. (Remember - for external numbers, you do not have to dial 9.)

Press Warm Transfer.

Speak with the Destination Party (transferee):

If the destination party wants to take the call, press Complete Transfer.

If the destination party does not want to take the call, click the number icon at the top right-hand corner of the screen. Refer to the image below. Notice the first caller is on hold. Click the Hangup icon for the destination party. Then, click the Hold icon for the active call.

Blind Transfer

Routes the call to a third party, the original call is ended. The caller’s ID shows on the transferee’s device.

While on an active call, press Transfer.

Dial the internal extension or external number. (Remember - for external numbers, you do not have to dial 9.)

 

Press Direct Transfer.

Your call will end and the caller will be blind transferred.

Voicemail

Access Voicemail

 

IMPORTANT: How you access your voicemail depends on if you have SETUP A or SETUP B.

 

SETUP A:  Your voicemail is emailed to your SMC email.

(1) In your email, you’ll see:

(2) Click to see more detail of the mesage.

(3) Click the .wav file to listen to the message.

SETUP B:  Your voicemail stays on the Web Client Phone server and you don't get your voicemail emailed to your SMC email.

(1) Assuming you are already in the GaelPhone Web Client, click Voicemail from the left side navigation menu.

(2) The main screen will give you the voicemail information, including an control options to play, delete, call back, etc.

NOTE: Be default, your voicemail will go to your email. If you prefer to have your voicemail only go to the Voicemail page in the Web Client, please contact the Service Desk at 925-631-4266.

NOTE: Having voicemail sent to email AND keeping voicemail in the Web Client phone server is not recommeded. To avoid confusion, choose one option or the other.  

NOTE: There is a 99 message limit for voicemail messages left in the Web Client and also desk phones.

NOTE: In the left side navigation bar, you will see there is a Messages link. Be aware that Messages are different than Voicemail. Messages are text messages that are sent via the Messages screen and/or sent via text message that were sent via the caller's cell phone or the caller's Jive cell phone application. 

 

Change Voicemail Password

 

(1) Click little phone icon at the top right corner of the screen. 

(2) When the number pad appears, dial *99. Then, press Call

(3) You will hear “Password”. Enter your password. (The default password is 0000.)

(4) Press 0 for Mailbox Options.

(5) Press 5 for Change Password.

(6) Enter your new password.
 

Change Voicemail Greeting

 

(1) Click little phone icon at the top right corner of the screen. 

(2) When the number pad appears, dial *99. Then, press Call

(3) You will hear “Password”. Enter your password. (The default password is 0000.)

(4) Press 0 for Mailbox Options.

(5) Press 1 to record Unavailable Message.

  • Press 1 to Accept.
  • Press 2 to Review Recording.
  • Press 3 to Re-record.

(6) Enter your new password.
