Borrowing Policies

All library users must present a valid SMC identification card to borrow from the collection. Saint Mary's students, faculty, affiliated scholars, and staff must present their college ID card with current academic year validation in order to borrow materials from the library. All Alumni, community borrowers, families of college employees and affiliate borrowers must obtain a library card from the Service Desk. Loss or theft of an identification card should be reported immediately to the Service Desk and contact the business office for a replacement.

All cards are non-transferrable. Alumni, community borrowers, and families of college employees are not eligible for certain library services such as requesting items through interlibrary loan, using course reserve material, and borrowing items from the best sellers, media, and children's collections. These borrowers may use electronic resources on-site using computer stations located at the Reference Desk. Remote access to most electronic resources is limited by licensing agreement to current Saint Mary's faculty, staff, and students.

Borrowing Privileges

Borrower Responsibilities

Library borrowers are responsible for all materials checked out on their card. All eligible borrowers are expected to have a current postal and e-mail address on file with the library.

Borrowers are responsible for returning material by the due date. If circumstances require individuals to leave town, they should make arrangements for the prompt return of library material. Items charged to an individual must be returned in good condition, without evidence of defacement, mutilation, or other damage.

Loan Periods

Loan periods vary by material type and borrower status. Please see Borrowing Privileges for more information.

Please note that some material does not circulate. Some examples of materials that do not circulate are reference books, periodicals, and special collections. All materials are subject to be recalled if needed for course reserve or if requested by another borrower.

Books Not Found in the Stacks

Patrons may request library staff search for a missing book. A full search for missing material may take several days. Patrons will be notified of the results of the search. If an item is missing and the patron is eligible to use the services, they may request it through interlibrary loan.


All patrons are responsible for honoring recall requests. If a library item is checked out to another borrower, you may place a recall on it for your use. This recall request may be placed directly from the library catalog. In the event an item is recalled, an email notice is generated with the new due date and sent to the current borrower. The current borrower will have up to 14 days from the date on which the recall is placed to return the recalled item. Failure to return a recalled item by the new due date will result in a loss of borrowing privileges until the item is returned.

As an alternative to a recall, faculty, staff, and students are encouraged to request items through interlibrary loan.

Fines and Lost Book Fees

Most borrowers are subject to fines for the late return of library books and other materials. Fines for overdue hourly reserve items accrue at the rate of $1 per hour. Fines for overdue materials borrowed from another library accrue at the rate of $1 per day. Outside book drops are available if you cannot return materials when the library is open.

If a book is long overdue or damaged, you will be billed for its replacement. The library reserves the right to adjust a  replacement fee upward if it does not cover the cost of the item. If the material is returned within 30 days of the invoice date, the replacement fee will be refunded. Billing fees are non-refundable. Please consult with the billing manager concerning lost or damaged items. Alternatively, you can submit a Dispute a Library Fine form.
