New Office of College Communications Procedures Announced
Dear Saint Mary's community,
As I shared last week, the Office of College Communications was pleased with the thoughtful feedback – both positive and negative – we received from the community about our work. Today, I'm writing to keep you informed about actions we are taking as a result of your comments, and to share a little about our office.
The mission of the Office of College Communications is to provide leadership in communications planning, strategy and creative implementation. We are responsible for enhancing the College's reputation and visibility, and for meeting the campus community's needs for effective communication with internal and external constituents. Meeting these objectives is fundamental to the College's ability to increase philanthropic support and strengthen its enrollment.
Our functions include communications and marketing, advertising, media relations, event promotion, website management and interactive marketing, community and government relations, social media, and publication of the Saint Mary's magazine.
From the survey we learned that, in general, our clients are satisfied with our service and believe that it has been improving over the past couple of years. We also heard that we could do a better job of achieving deadlines and communicating about projects throughout their lifespan.
As a result of your feedback, we are taking the following actions:
1. We will better serve internal clients and institution communications needs by focusing our efforts during peak periods on existing annual projects, such as Commencement, the development of fundraising and admissions materials, and alumni events. This approach will require limiting the number of new projects that will be delivered during the periods of July 15 though September 15 and March 15 through Commencement each year.
2. We will implement a revised project management process that includes an improved project request form (available at stmarys-ca.edu/occrequest). The improved process will ensure proactive communication and will bolster our ability to meet deadlines.
I will be in touch with our current on-campus clients soon with more information about these changes. In the meantime, please contact me or a member of the College Communications team with questions or ideas. We love hearing from you.
