Travel January Term Registration

1) SUMMARY OF TRAVEL REGISTRATION PROCESS

Jan Term Travel course registration is online via GaelXpress. 
The registration period is Wednesday, 9/26.

Please note that First Year Students are eligible for JAN 70 or the other domestic travel courses.  

In order to enroll in a Travel course, the following steps are mandatory:

  1. Attend a Travel course’s pre-registration informational meeting. View the Information Session Schedules HERE.
  2. At the informational meeting, ensure you meet the requirements set by the instructor. 
  3. Submit your name, SMC ID, SMC email, & phone number to the instructor no later than Monday, 9/17.
  4. Students must have a $0 balance from their Fall bill.
  5. Pay a deposit of 50% of the course fee (either via GaelXpress through the "Student Accounts" or in person) Monday, Sept. 17-Thursday, Sept 20th. 
  6. AN IMPORTANT NOTE: If you wish to be able to register for another Travel course in case your first choice is full, you must pay the 50% deposit on the most expensive course that you are interested in, in addition to receiving instructor approval for your registration.

2) SUMMARY OF POST-REGISTRATION REQUIREMENTS AND RESPONSIBILITIES OF ENROLLED TRAVEL STUDENTS:

PASSPORTS AND VISAS

If you do have a passport, it must be valid through August 2019. If not, or if your passport expires prior to August 2019, it is extremely important that you acquire or renew your passport as soon as possible. If you don't have your passport by November 1st, your eligibility to travel may be compromised. (This is primarily due to the need to supply international airlines with passport numbers of all passengers.)

The Jan Term Program does not coordinate acquisition of travel visas. If a travel visa is needed for your destination, you will need to get one yourself. (Your instructors will be able to assist you through the process.)

If you are a non-US citizen, you may need an additional travel visa.

PAYMENT DEADLINE

All course fee balances must be paid in full by October 29th. No exceptions.

ZERO BALANCE REQUIRED

Students must have a zero balance in their student account in order to deposit for Jan Term Travel courses. Any student whose financial aid is still pending on 9/18 must receive clearance/verification from the Financial Aid office in order to deposit.

FINANCIAL AID INFORMATION

If you intend to use financial aid to help fund your Jan Term Travel course fee, go to Financial Aid Office immediately to apply for additional Fall funds. Again, Travel course fees must be paid in full by October 29th. (This date is prior to Spring financial aid disbursement.) 

DISCIPLINARY STANDING

Students must be in good disciplinary standing in order to participate in a Travel course; screening will take place the week following registration. Ineligible students will be refunded.

FALL 2018 POST-REGISTRATION CLASS MEETINGS  

Most Travel courses hold mandatory post-registration Fall meetings; make sure you can attend these meetings before enrolling. Ask the instructor if these meetings aren't yet listed in the online catalog.

DEPOSITS ARE NON-REFUNDABLE; REFUNDS ONLY BY PETITION

Jan Term Travel deposits are non-refundable once a student is enrolled in a Jan Term Travel course, and students are responsible for the full cost of the course once they are enrolled. In other words: once enrolled, a student is obliged to pay the full course fee and may not drop the course without losing the full course fee.

However, if a student withdraws from a Travel course due to an emergency, the student may petition for a partial refund. Petitions must be done in writing and submitted to the Business Office. Refund petitions under these circumstances will be considered only after all expenses related to the course have been paid (i.e., in February 2019).

JAN TERM TRAVEL COURSES MUST BE TAKEN FOR CREDIT

Jan Term Travel courses are designed for currently enrolled students as a graduation requirement, and are not allowed for students on a “not for credit” basis.

PASS/FAIL

Pass/Fail is not an option for Travel courses.

 

Campus Course Registration 

Registration Guidelines

  1. With the exception of independent study projects, all January Term registration will be via GaelXpress.
  2. Students are not required to meet with their faculty advisor in order to register for January Term.
  3. Students will register for all on-campus courses by academic class level on Monday, October 1st through Wednesday, October 3rd. Class level is determined by the number of completed credits at the time of registration. (NOTE: "At the time of registration" does not mean "at the end of this semester" or "after my transfer credits are added in.")

Seniors (27+ credits completed)

Monday, October 1

Juniors (18-26.99 credits completed)

Tuesday, October 2

Sophomores & First Years (1-17.99 credits completed)

Wednesday, October 3

  1. On each of the above dates, registration will be open according to the number of credits completed. If you have any questions, please contact the Registrar's Office at (925) 631-4214.
  2. If you are registering for a campus course that requires the instructor's signature, or if an instructor's signature is needed to exempt you from one of the prerequisites for the course, you must bring a signed "Instructor's Permission Form" to the Registrar's Office prior to your registration day so that you may register online for the course. Alternatively, as in the case of most travel courses, the instructor may choose to present the Registrar with a list of those students who have been granted a signature.
  3. The last day for students to submit a completed proposal for independent study is Friday, October 26th. Such students should ALWAYS register for an on-campus course in case their proposal is not approved.
  4. Visiting students should contact the Registrar's Office for information about registering for January Term courses.
  5. Any changes made to your Jan Term schedule after January 9th 2019 may have a late course adjustment fee imposed.
  6. Registration for a January Term course only guarantees students a place in the first class of the January Term session. Students who fail to attend the first class will be dropped from the class list unless they have notified the instructor or the Registrar in advance. Please call the Registrar at (925) 631-4214.
  7. The last day to drop a January Term campus course without penalty is January 9th, 2019.
