Why move Colleague to the cloud?

This project is the last step in a multi-phase initiative to modernize our Enterprise Resource Planning solution otherwise known as Colleague.  Colleague is the College’s system of record and manages most of the College’s business processes including those related to Finance, Student Registration and Grades, Purchasing, Human Resources, Accounts Payable and Receivable, Financial Aid, and more. Moving Colleague to the cloud offers significant benefits in terms of scalability, flexibility, reliability and security.

 


Timeline

 

MARCH

IT Services development and testing begins.

APRIL

Impacted staff departments will be asked to test, prior to launch. These departments will be contacted by IT Services. Testing dates are April 3rd-20th.

MAY

GO LIVE. Launch for the Colleague migration to the cloud is Thursday, May 25th starting at 5pm through Friday, May 26th. There will be outages during the migration, see details below.


Frequently Asked Questions

During the migration on May 25th and May 26th the services below will be unavailable or partially unavailable.

UNAVAILABLE

  • Colleague UI
  • GaelXpress 2.0/Self-Service
    • For Faculty: Entering grades, into GaelXpress 2.0, will not be available during the migration.

PARTIALLY AVAILABLE

  • Moodle/Canvas will be fully available for course work during the outage window, though updates from Colleague will not occur during this time, so changes to enrollments or courses by Faculty will not occur during the migration.
  • Power BI will be available however data will not be refreshed during this time.
  • Student Account Center (Touchnet) will be available to make payments however transactions getting to the Business Office will be delayed.
  • AdAstra will be available to view however updates from Colleague will not occur during this time.
  • Third-party Applications will be available, however any feeds from Colleague will not happen during this time.

For most Colleague-related work, users will notice no changes. However, please note that if you have any browser bookmarks to Colleague, you may need to update them.

Users may need to flush their DNS or reboot their machine.
