Mission

The program review process is grounded in the continuous improvement model and supports academic programs in maintaining the highest standards of education. It provides opportunities for the departments and programs to discuss and further develop plans for how their campus roles, educational goals, and curricula support the College-wide Strategic Plan, school-level priorities, and other student success metrics. It is also a reflective exercise in which programs identify their strengths and concerns, and review with faculty colleagues and college leadership how the program’s contributions to the College may be continued and enhanced.

Academic program reviews are facilitated by faculty serving on the Program Review Committee and supported by the Institutional and Educational Effectiveness division.

Program Review Cycle

The Chair or Director of the program updates the action plan and assessment schedule on an annual basis. The annual update is meant to support the programs make steady progress and document accomplishments so the comprehensive review can focus on meaningful reflection and future planning.

Submission of Program Review Materials: Email Chaitra Rao (cr61@stmarys-ca.edu), IEE Coordinator

Accessing Submitted and Archived Program Review Materials: Visit Nuventive from SSO and navigate to "Program Review & Action Plan - your program name" space.

Academic programs are reviewed comprehensively by the program review committee every 8 years. The comprehensive review takes the following steps.

  1. [Orientation & Workshops] Program directors or chairs attend the required orientation held in August. This is 18+ months prior to the program review materials submission due. Throughout the process, the PRC organizes subsequent self-study workshops, and programs are highly recommended to attend these workshops to seamlessly facilitate the self-study drafting process. These workshops cover program data profile, Academic Resource and Educational Technology review, assessment, and tips for facilitating and navigating the drafting of self-study.
  2. [Self-Study Submission] Programs submit self-study to the PRC, Dean, and External Reviewer. Consult the Dean whether they prefer to review it before submission to the PRC and the reviewer.
  3. [External Review & Program's Response to the Review] Conduct the external review (see guidelines below in the Quick Links) and submit the report to the PRC. The program has the option of providing its response to the external review.
  4. [Dean's Letter] Dean's letter marks the final step of the program review material submission. For the January group, this letter is due on January 15. For the June group, this letter is due on June 1.
  5. [Lines of Inquiry & Program Meeting] After the PRC convenes a review, they share lines of inquiry and schedule a meeting with the program faculty. This process is to seek updates since the submission of the self-study and any clarification needed to draft Action Letter.
  6. [Action Letter] The PRC issues its final Action Letter to guide the development of action plans as well as assessment schedules and strategies till the next review cycle. After the program receives a letter, Vice Provost for Institutional and Educational Effectiveness organizes action and assessment plan meeting with the program faculty, Dean, PRC representative, and the Director of Assessment and Educational Effectiveness. See the guidelines and form in the Quick Links below.

Strategic Priorities and Institutional Data

Programs should consider the Strategic Plan and Institutional Learning Goals as they make future plans. In addition to the Key Performance Indicator Dashboard and Interactive Fact Book, programs under review receive a data profile that details enrollment trend, time to degree completion, and course-level statistics.
