ATTENTION:

New Hire Process during COVID 19 Closure

Updated July 14,  2020

Until further notice, we are only accepting new hire docs via email to hr@stmarys-ca.edu or emailed directly to our Recruitment team members. Upon receipt of completed (signed / dated) new hire paperwork, a member of our HR team will reach out to you to schedule an in-person appointment in our office OR a “virtual” meeting  to view your identification for proof of eligibility to work in the United States, which completes your Form I-9.

Temporary, part-time or full-time staff and faculty employees please complete and return via email:

  • W-4

  • DE-4 (CA state withholdings)

  • Direct Deposit (no voided checks, please)

  • Personnel Data Form

  • I-9 (Section 1 only, signed and dated)

  • Resume or CV

If you are in the Moraga area, and are able and willing to come to the Main Campus to show us your Identification, we can schedule a 15 min appointment with you. Face mask required. Otherwise, the Department of Homeland Security will allow us to “virtually” visually inspect your identification. The virtual identification check is a temporary measure only and requires that you to come to our Human Resources office (or an affiliate location) at a later date, when the campus is open, for an in-person verification of your identification.

For more information, please contact our Recruitment Team:

Erika Roesch @ ehr2@stmarys-ca.edu, (925) 631.8295

Courtney Gordon @ cng4@stmarys-ca.edu, (925) 631.4912

Completion of your new hire forms is needed to establish your SMC ID, email, and access to other systems such as Moodle. If you are a new faculty or staff member, please stop by our Human Resources office prior to your official start date (if possible) to turn in your completed forms and establish your right to work in the US, in compliance with the rules and regulations of the Immigration Reform & Control Act of 1986 (please see the I-9 Form).

Within three business days of their start, all new Saint Mary's employees must complete the Department of Homeland Security Form I-9 and provide documentation proving their identity and eligibility to work in the United States. If proof of eligibility is not provided by this time, the College will terminate employment.

Please refer to the links on the right side bar of the page to access forms. The Motor Vehicle Report document only applies to select new hires to Public Safety, Facilities or Athletics. If your job requires you to drive as part of responsibilities, you will be directed to complete the MVR.

Welcome to Saint Mary's College! Go, Gaels!

Note to faculty: Completing all your paperwork well before the term begins will allow the College to prepare your supporting services in advance of your first class meeting (ID, email, class rosters, library access, and Moodle) and is strongly recommended. Also if a faculty member has worked for the College previously, they need only provide I-9 information if it has been more than three years since they last completed their I-9  form for the College or if their current I-9  form is no longer valid.
