ATTENTION:

Current New Hire Process

Updated August 30, 2021

We are currently accepting new hire docs via email to hr@stmarys-ca.edu. You also need to come to our HR Office Suite in the basement "Garden Level" of the Filippi Admin Building to present your identification (original identification, no photocopies) to complete your Form I-9, section 2. Please review the acceptable list of identification we can accept, before you come into the office. The full list is on page 3 of the I-9 Form. This step must be done in person with an HR representative no later than your third date of employment. The completion of your I-9 form is imperative to receive a new Saint Mary's email account and subsequently get access to the tools you need to start your work at SMC.

Temporary, part-time or full-time staff and faculty employees please complete and return via email:

  • W-4

  • DE-4 (CA state withholdings)

  • Direct Deposit (please do not attach a check)

  • Personnel Data Form

  • I-9 (Section 1 only, signed and dated)

  • Resume or CV

SMC is strongly recommending all Staff & Faculty be vaccinated against COVID-19. Log your verification of vaccination status to our Employee Vaccine Portal. Click here to access FAQs about COVID-19 at Saint Mary's.

For more information, please contact our Recruitment Team:

TO ALL NEW EMPLOYEES:

Completion of your new hire forms is needed to establish your SMC ID, email, and access to other systems such as Moodle. If you are a new faculty or staff member, please stop by our Human Resources office prior to your official start date (if possible) to turn in your completed forms and establish your right to work in the US, in compliance with the rules and regulations of the Immigration Reform & Control Act of 1986 (please see the I-9 Form).

Within three business days of their start, all new Saint Mary's employees must complete the Department of Homeland Security Form I-9 and provide documentation proving their identity and eligibility to work in the United States. If proof of eligibility is not provided by this time, the College will terminate employment.

Please refer to the links on the right side bar of the page to access forms. The Motor Vehicle Report document applies to new hires in Public Safety, Facilities or Athletics, and anyone else who will be driving as part of their role here at SMC. If your job requires you to drive as part of responsibilities, you should complete the MVR.

Welcome to Saint Mary's College! Go, Gaels!

Note to faculty: Completing all your paperwork well before the term begins will allow the College to prepare your supporting services in advance of your first class meeting (ID, email, class rosters, library access, and Moodle) and is strongly recommended. Also if a faculty member has worked for the College previously, they need only provide I-9 information if it has been more than three years since they last completed their I-9  form for the College or if their current I-9  form is no longer valid.
